What We Do

DUTIES OF OFFICERS

President:

  • Shall be the chief executive officer of this organization and have general supervision, direction, and control of the business affairs of this organization.
  • Preside at all executive board meetings and at all the general and special meetings.
  • May appoint committee chairs as required.
  • Will be one of two signatures required on disbursements.
  • Shall co-sign with the Choral Director and/or Treasurer on all written contracts and statements of financial obligation of the organization as authorized by the membership.
  • May be one of the required officer’s signatures to verify cash box balances.
  • Will be one of two approvals required prior to publishing meeting minutes. (Approvals must be completed within 24 hours of submittal.)
  • Maintains the official face book page, charms and booster e-mail account
  • Acts as a liaison to all committees

Vice-President:

  • Shall assist the president in all matters as required
  • Shall take over the President’s duties when the President is not available or at the President’s request.
  • Communicates with the volunteer co-coordinator
  • May be one of the required officer’s signatures to verify cash box balances.
  • Will be one of two approvals required prior to publishing meeting minutes. (Approvals must be completed within 24 hours of submittal.)
  • Acts as liaison to all committees in the absence of the President

 

Secretary:

  • Shall keep a book of meeting minutes and is the custodian of all records of this organization
  • Will present previous meeting minutes, handle all correspondence for the club, and will obtain member contact information.
  • May be one of the required officer’s signatures to verify cash box balances.
  • Shall take the minute’s at all executive board, general, and special meetings. (Minutes must be published within 48 hours of meeting.)
  • Manages corporate records when we become a non-profit(AZCC annual report, etc)
  • Prepares binder to hold the following for year end:-  Newsletters, minutes, financial reports, activities, programs, volunteer list for each concert (from Charms)

 

Treasurer:

 

  • Shall maintain adequate and correct accounts of the Boosters assets, liabilities, receipts, disbursements and all income of any sort derived from the organization from any of its’ activities
  • Will be responsible for the filing of timely income tax returns and all other necessary filings.
  • Will be one of two signatures required on disbursements
  • Shall co-sign with the President all written contracts and statements of financial obligation of the organization as authorized by the membership.
  • Upon expiration of his/her office the treasurer shall transfer all properties of the office to the successor.
  • In the event of a vacancy in the office the president will appoint a new treasurer from the general membership.
  • May be one of the required officer’s signatures to verify cash box balances.
  • Will be responsible for submitting current financial statements to board officers by close of business and three business days prior to any club meeting.
  • Will be responsible for submitting complete reconciled ledger activity for most recent bank statement period, with detailed description and categorization of all activity, by close of business three business days prior to the monthly executive board meeting. 

In addition to the Executive Board positions, Committee Chairs are needed to maintain the daily operations of the booster club.  Below are brief descriptions of the various committees.  These are available by volunteering and are not voted by election.

Committee Positions

 

Outreach:
The Outreach Committee shall be responsible for generating inspirational ideas and coordinating Choir related activities such as: community service opportunities (i.e. – Adopt a Family) and other team building activities (singing at Red Hats Club, Retirement Homes, Feeder schools, Az. State Fair).
Public Relations:
The Public Relations Committee shall be responsible for coordinating all external communications that serve to increase exposure and encourage a positive overall public image. This includes ads, posters, flyers, etc. regarding fundraising and other Choir activities.

The PR chairperson will also work with the school for approval when using school name, Fundraising Chairperson and Choir Council.  PR chairperson will create Weekly/Monthly newsletter and work with Webmaster to put it on webpage.

 

Fundraising:
The Fundraising Committee shall be responsible for generating fundraising options and coordinating fundraising activities. This position will be responsible for coordination/planning of fundraising activities and tracking fundraiser participation. This includes distribution of merchandise/materials and collection of monies, etc.  Fundraising Chairperson will work with Public Relations chairperson, Treasurer for monies, Booster President, Merchandise chairperson and Choral Director if necessary.
Merchandise:
The Merchandise Committee shall be responsible for working with the Fundraising committee to generate merchandise options within the specified merchandise budget. Additionally, the Merchandise chairperson shall be responsible for obtaining, storing, and transporting merchandise. They will also be responsible for inventory reporting and coordinating participation in events where merchandise will be sold.  They will also be work with Uniform Chairperson for ordering of character shoes and spanks.  Other items to be responsible for are t-shirt orders, window decals and any other merchandise we decide to sell.  The Merchandise chairperson will work with the Booster President and Choral Director if necessary.

 

Volunteer:
The Volunteer Committee shall be responsible for tracking volunteer participation and coordinating volunteer activities in support of all committee activities. Specifically includes coordination of volunteers for concerts (i.e. concession sales (snacks and water), merchandise, ticket booth, working with NHS volunteers, room parents for each choir back stage), and other various choir functions and events where volunteers are needed. Will be responsible for making sure volunteers are “Volunteered Trained/Finger Printed” thru the school district and will work with whomever is in charge of Volunteer Training at the school. The Volunteer chairperson will work with the Booster Vice President.

 

Uniform:

The Uniform Committee shall be responsible for getting the choirs outfitted for concerts, performances, and competitions. This will include, measuring students, filling out orders, fitting students, some sewing and alterations, etc. They will also be responsible for distributing and collecting uniforms and maintaining the uniform room.

 

Choir Parents:

The Choir Parent Committee will be assigned to a specific choir. There will be a minimum of 4 choir parents for each choir. These parents will rotate being backstage during concerts (work one night, watch one night). They will chaperone fieldtrips and assist in the room with communication between the Booster Club and choir students, choir parties and activities, etc.

 

Concert Hospitality:

The Concert Hospitality Committee will be responsible for the lobby before/during/and after concerts. This involves setting up/decorating, ushering, supervising, selling concessions/choir merchandise, helping at information tables, cleaning up, etc.

 

Sponsorship/Program Ad Committee:

The Sponsorship/Program Ad Committee with secure sponsorship and/or program ads for the Boulder Creek Choral Music Concert Programs.

 

Work at home:

The Work at Home Committee will complete jobs at home, i.e. folding programs, emailing, phone calling, organizing, other at home jobs assigned by Mr. Douglas or Booster Club Officers.

 

Tickets:

The Ticket Committee will be responsible for designing, printing, organizing, pre-selling and at the door selling of concert tickets.

Webmaster:

They will be responsible for developing and maintaining the website, attend Booster meetings, will work with Choral Director, Booster Club, Fundraising Committee and Public Relations.
